Refund, Cancellation and Withdrawal Policy

Cheenta Academy Private Limited

This Policy governs refunds, cancellations and withdrawals for all programs, subscriptions, workshops and services offered by Cheenta Academy Private Limited ("Cheenta", "we", "us"). By enrolling in or paying for any Cheenta program, the payer ("you") accepts the terms below. This Policy is read together with our Terms of Service and Privacy Policy.

I. Scope and Definitions

  1. Program means any subscription course (Mathematics, Physics, Informatics, Statistics, ISI–CMI Entrance), research program, mentoring/leadership program, one-on-one engagement, workshop, camp or offline (centre-based) course.
  2. Subscription Period means the fixed term for which a Program fee is paid (for example, 6 months or 12 months).
  3. Trial means the single paid trial session offered before enrolment.
  4. Enrolment (or admission) means the date on which the Program fee is first paid.
  5. Net Program fee means the amount actually received for a Program, excluding the Trial fee, any registration fee, and installment surcharges.
  6. A business day is a working day at Cheenta's principal office (India, IST), excluding public holidays.

II. The Paid Trial

  1. The Trial is charged at the published trial fee (currently ₹200 plus applicable GST). The Trial fee is non-refundable, except where Cheenta cancels the scheduled Trial and is unable to offer a mutually acceptable alternative slot.
  2. The Trial fee is not adjusted against, or credited towards, subsequent Program fees unless expressly stated at the time of the offer.

III. Withdrawal from Subscription Programs

  1. Refunds are determined by the time elapsed since enrolment:
    1. Within 30 days of enrolment90% of the Net Program fee. The remaining 10% is retained as an administrative charge covering onboarding, scheduling, processing and payment-gateway costs.
    2. From 31 to 180 days after enrolment50% of the pro-rata value of the unused period, calculated as:
    3. Refund = 50% × (Net Program fee × Unused full months ÷ Total months in the Subscription Period)
    4. More than 180 days after enrolmentno refund.
  2. "Unused full months" are counted from the first day of the month following receipt of the written withdrawal request; a partial month already in progress is treated as consumed.
  3. The Trial fee is non-refundable in all cases (Section II).
  4. The right under sub-section (i)(a) applies to a student's first enrolment in a given Program. It is not available on re-enrolment into the same Program.
  5. Refunds under this Section are processed within 10 business days of approval (Section XIII).
  6. Cheenta may, at its discretion, refund more than the amounts above as a goodwill measure; it will not refund less.

IV. Installments, Bundles and Platform Access

  1. Installment plans. Any installment-related surcharge or convenience fee is non-refundable. Refunds are computed on the Net Program fee on the basis set out in Section III.
  2. Multi-program bundles. For bundled enrolments (for example, Mathematics + Physics + Informatics) carrying a bundle discount, an early withdrawal from one component recomputes the remaining components at their standard standalone rate; the refund is the balance, if any, computed under Section III.
  3. Software and platform access. Access to the Panini8 platform is bundled with subscription enrolment and is not separately refundable; on withdrawal, platform access ends at the close of the period for which a refund has not been issued.

V. Validity, Pauses and Expiry of Service

  1. Validity. Each enrolment is valid only for its Subscription Period. Sessions, classes and platform access not used within that period lapse at its end and are not carried forward, refunded or exchanged, except for a permitted pause under this Section.
  2. Pauses. A student may pause an active subscription one or more times, requested in writing in advance. The pause allowance is cumulative: all pauses taken together must not exceed 60 days in a Subscription Period. Each pause extends the service end date by the paused duration only. Pauses do not extend the refund windows in Section III, which run continuously from the date of enrolment.
  3. No indefinite hold. A subscription cannot be paused or held open indefinitely. Once the 60-day pause cap is reached, or the (extended) Subscription Period ends, the enrolment expires.
  4. Expiry and resumption. An expired enrolment cannot be resumed on its original terms. To continue, the student re-enrols at the fees and terms then in force; fees from an expired enrolment are not credited towards re-enrolment.
  5. Prepaid one-on-one hours. Prepaid one-on-one or custom-hour packages expire 180 days from the date of purchase. Hours not scheduled and used within that window lapse and are not refundable or transferable.

VI. Research, Mentoring and Leadership Programs

These Programs reserve a named mentor's time for the full term and are treated as committed-cost engagements. The tiers in Section III do not apply.

  1. A full refund (less a 10% administrative charge) is available only if the request is made within 7 calendar days of payment and before mentor allocation or project kick-off, whichever is earlier.
  2. After mentor allocation or kick-off, refunds are limited to 50% of the value of milestones or months not yet commenced.
  3. No refund is due once the engagement has passed its midpoint, measured by elapsed term or by milestones completed, whichever is earlier.
  4. Fees paid to third parties (science-fair registrations, IRIS/ISEF/Regional Fair fees, university or test application fees facilitated through Cheenta Reflect) are governed by the third party's own terms and are non-refundable by Cheenta.
  5. Fixed scope of one-on-one engagements. The subject, level and scope of a one-on-one or custom engagement are fixed at the time of purchase, and mentor allocation and pricing depend on them. A change of subject or scope is not available as of right; it requires a fresh agreement and may be separately priced and scheduled. Only topics agreed in writing at the time of purchase fall within the engagement.

VII. Workshops, Camps and In-Person Events

  1. Seats and venue capacity are committed in advance. The following tiers apply to the published fee:
    1. 14 or more days before the start date: refund less an administrative charge of ₹1,500 (or USD 25).
    2. 7 to 13 days before the start date: 50% refund.
    3. Fewer than 7 days before the start date, or after the event has begun: no refund.
  2. In lieu of a refund, you may request a one-time transfer of the seat to a future cohort of the same workshop, subject to availability, where the request is made at least 48 hours before the start date.
  3. Travel, accommodation and incidental costs incurred by you are not Cheenta's responsibility under any circumstances.

VIII. Offline (Centre-Based) Programs

For programs delivered at a Cheenta physical centre, tuition is refunded on a full pro-rata basis for the remaining period.

  1. The one-time admission / registration fee is non-refundable.
  2. Tuition fees are refundable on a pro-rata basis for the remaining period, processed within 10 days of approval.
  3. Physical materials, books, kits and library access already issued or activated are non-refundable.

IX. Non-Refundable Components

The following are non-refundable under all Sections, save where Cheenta cancels the Program:

  1. the Trial fee;
  2. admission, registration and one-time onboarding fees;
  3. sessions, classes and mentoring hours already delivered, and recordings already accessed;
  4. sessions, classes, hours or platform access that have lapsed or expired under Section V;
  5. one-off assessments, mock tests, evaluation reports and certificates already issued;
  6. physical materials already dispatched or activated;
  7. third-party fees (examinations, competitions, applications) paid to or through external bodies;
  8. payment-gateway, bank, remittance and foreign-exchange charges;
  9. installment surcharges and convenience fees.

X. Circumstances Where No Refund Is Due

No refund is payable for:

  1. sessions missed by the student, schedule conflicts, or non-attendance. Recordings of live classes are generally available for 30 days after the relevant class and not thereafter; a recording may occasionally be unavailable owing to technical issues outside Cheenta's control, and such unavailability does not by itself create a refund entitlement. Recordings or make-up sessions, where available, are offered in lieu of any refund;
  2. discontinuance without written notice to Cheenta;
  3. termination of enrolment for breach of the Code of Conduct or the Academic Integrity Policy;
  4. dissatisfaction with examination results, contest outcomes, admissions outcomes or rankings. Cheenta makes no guarantee of any selection, rank, score or admission, and outcomes do not constitute grounds for refund.

XI. Referral and Sibling Discounts on Early Exit

Referral and sibling discounts are contingent on the referred or sibling enrolment remaining active through the first 30 days. If a linked enrolment is reversed within that window, the corresponding discount is recovered from any refund due.

XII. International Payments, Currency and Taxes

  1. Refunds are issued in the currency of the original transaction, to the original payment method.
  2. Cheenta is not responsible for any difference in value arising from exchange-rate movement between the date of charge and the date of refund.
  3. International card, gateway and remittance charges are non-refundable.
  4. GST. Refunds are computed on amounts received. The GST component already remitted to the authorities will be adjusted by credit note within the timelines permitted by law. Where the statutory window to adjust GST has lapsed at the time of the refund request, the GST component may not be recoverable and may be excluded from the refund.

XIII. How to Request a Refund; Processing and Method

  1. Submit a written request to support@cheenta.com (or WhatsApp +91 91474 02649) stating the student's name, Program, payment reference and reason for withdrawal.
  2. We acknowledge requests within 3 business days, communicate a decision within 7 business days, and process approved refunds within 10 business days of approval.
  3. Refunds are made only to the original payer and original payment instrument. Cash refunds are not provided.

XIV. Chargebacks and Disputes

Please contact us before initiating a chargeback or payment dispute. Raising a dispute with a bank or card network without first contacting Cheenta may delay resolution, and any refund subsequently found due will be adjusted for amounts already recovered through the dispute.

XV. Amendments

Cheenta may amend this Policy from time to time. The Policy in force on the date of your payment governs that payment. The current version is always published at https://cheenta.com/refund-policy/.
